Built a patient scheduling and reminders system with role-based access and automated workflows, reducing no-shows and manual coordination for clinic staff.

The challenge

A healthcare provider was losing significant revenue and clinician time to no-shows and manual, phone-based scheduling. Handling patient data also meant privacy and access control had to be right from day one — not bolted on later. What we did

  • Built a cross-platform mobile app so patients could self-schedule, reschedule, and confirm — cutting the phone coordination that consumed staff hours.
  • Automated multi-channel reminders tied to each appointment's lifecycle, which is where most of the no-show reduction came from.
  • Modeled role-based access from the start so each staff role sees only what it should, with a clear audit trail.
  • Shipped on a containerized, monitored stack so the clinic could rely on it during working hours.

Role-based access and least privilege by default

Patient data demanded that access control be foundational, not an afterthought. We designed roles and permissions up front so every actor — front desk, clinician, admin — sees only what their job requires, with sensitive fields gated and access auditable end to end.

Self-service scheduling on mobile

Most friction lived in phone-based booking. Putting scheduling, rescheduling, and confirmation directly in patients' hands removed a whole category of manual coordination and made the clinic's calendar reflect reality in real time.
